Provide comprehensive administrative support to Emergency Services and maintain readiness during activations
Emergency Management Administrative Support
This position is responsible for providing professional administrative support to the Emergency Management staff. Support includes, but is not limited to, answering incoming calls, scheduling presentations, greeting visitors, maintaining 1st floor conference rooms and MACC, ordering supplies, procurement assistance, tracking/documentation of activities, record-keeping, and entering memos for administrative approval and processing.
General administrative support to Emergency Management staff which includes, logging administrative documents, preparing correspondence, meeting minutes, scheduling meetings and presentations, assisting with special projects as needed. Assisting the preparing of Planning Section documentation.
Maintaining 1st floor EOC conference rooms, MACC. This includes ensuring rooms are stocked with supplies, equipment is in working order, and the rooms are kept orderly.
Assisting with the purchase requisition/purchase orders for Emergency Management staff.
Serve as Records Management & Liaison with Central Records, ensures that office operations comply with policy provisions and standards. Maintain files related to Emergency Management operations (activations, plans, purchases, etc.).
Other:
Assist with development of recommended operating guidelines (ROG).
Update Smartsheet Dashboards for contract management, performance measures, etc.
Update monthly performance data into ClearPoint Strategy Solutions.
Work Hours: Monday – Friday, 8:00 a.m. – 5:00 p.m.
Minimum Qualifications: A High School Diploma or GED with 2 – 5 years of administrative and computer experience. College course work in Business from an accredited college or university preferred. Related professional certification preferred. NOTE: Once year of college may substitute for one year of experience.
MUST obtain within six (6) months from date of hire FEMA Incident Command System course certifications in IS 100, IS 700.
Preferred Qualifications: Experience working in the Sarasota County Emergency Management Planning Section Situation Unit during Emergency Operations Center activations. FEMA Incident Command System course certifications in IS 200, IS 800, IS 775, IS 547 preferred.
Job Competencies:
Technical skills: MS Office 2007-2010, WebEOC, Call Center Knowledge Base (CCKB), Adobe Acrobat, ArcView, eGenda, SharePoint and other county-related software programs
Possess an aptitude and willingness to learn, be accurate and attention to detail
Medical field knowledge desired
Pay: $16.03 – $20.64
