Penn Manor School District – Secretary – Elementary School – 10 Months
Posting: 7/15/26 – 7/27/26 Location: Hambright Elementary School Status: FT – 205 Days/yr Reports to: School Principal Schedule Monday through Friday 7:30 a.m. – 4:00 p.m.
Summary Ensure the smooth efficient operation of the school office and assist in performing the daily tasks integral to the daily operations of the School.
Primary Duties and Responsibilities
- Perform clerical duties including but not limited to answering phones and directing calls; greeting and assisting visitors; opening, processing, and distributing mail; typing forms, letters, reports, correspondence, memos; screen callers, assist and address concerns from parents.
- Oversee daily attendance to include tracking, monitoring and receipt of late arrivals, early dismissals, groups for extra-curricular activities and school trips; collect and record follow up notes to confirm student absences; maintain daily attendance log of parent call-offs and ensure that all students are marked absent.
- Coordinate the registration and withdrawal of students.
- Maintain emergency contact information for students and staff.
- Assist in managing bus assignments and communicating changes as directed by the district Transportation Coordinator.
- Assist in coordination of communications (written and oral) with the PTO and groups using the buildings.
- Produce and maintain a number of reports, including food service reports and a complete audit trail of all attendance changes throughout the day.
- Receive, prepare and send morning announcements to media for morning reading.
- Assist teachers and instructional assistants with protocol, photocopier and fax machine use, and computer assistance as needed; assist with distribution of materials, memos, district-wide mailings, and school/parent communication.
- Assist with student discipline to include communicating with principal, parents, preparing and distributing all discipline letters and forms as directed by the principal, and maintaining corresponding files; enter students' disciplinary reports into the computerized student tracking system.
- Perform other duties as assigned by the principal.
Qualifications
- High school diploma or equivalent is required
- Some experience as a secretary necessary, preferably in public education
- Valid PA Driver's license and /or access to independent transportation
- Pre-employment requirements as designated by the PA School Code
