Front Desk Associate (Facility Coordinator – Reception & Executive Support)
Pay: $24.52/hour | Weekly Pay + Optional Benefits
Location: 505 North Cleveland Avenue, Westerville, OH | Fully On-site
About the Role
The Front Desk Associate will serve as the first point of contact at the company's global headquarters, providing a professional, welcoming, and highly organized workplace experience for employees, visitors, and vendors. This role combines front desk reception, office services, facilities coordination, and administrative support for executive leadership.
Responsibilities
- Serve as the primary point of contact for employees, visitors, and vendors entering headquarters
- Manage visitor registration, badging, and security procedures
- Answer and direct incoming calls, emails, and general inquiries
- Maintain a professional and welcoming reception and lobby area
- Receive, organize, and distribute mail, packages, and deliveries
- Create and manage work orders for maintenance, repairs, and office needs
- Coordinate vendor and contractor access, scheduling, and service requests
- Support seating assignments, workplace documentation, and office organization
- Monitor and restock office supplies and coordinate replenishment as needed
- Assist with office moves, workspace reconfigurations, and facility projects
- Submit purchase requisitions for approval to support completion of work orders and repairs
- Provide administrative support to C-Suite Executive Assistants and leadership teams
- Coordinate meetings, conference room setups, catering, and leadership visits
- Maintain confidentiality, professionalism, and excellent communication when supporting executives
- Track vendor services and facility requests through completion
Qualifications
- High school diploma or equivalent required
- 2+ years of relevant experience in reception, administrative support, facilities coordination, or customer service
- Strong customer service and interpersonal skills
- Excellent organizational skills with strong attention to detail
- Ability to manage multiple priorities in a fast-paced office environment
- Professional communication skills, both written and verbal
- Experience supporting executives or leadership teams preferred
- Experience with facilities operations, vendor coordination, or office management preferred
- Familiarity with workplace tools including Outlook, Excel, and Teams
- Ability to maintain confidentiality and handle sensitive information professionally
