Project Administrator

The Project Administrator supports project teams by managing contract documentation, processing invoices, and maintaining accurate project records. This role ensures that financial and compliance requirements are met while providing organized administrative support to keep projects running smoothly and on schedule.

Responsibilities

  • Obtain and review insurance and bond documentation from subcontractors prior to contract execution to ensure compliance with project requirements.
  • Review and process subcontractor invoices and pay applications accurately and in a timely manner.
  • Monitor invoice status and payment processing to help ensure vendors are paid according to agreed terms.
  • Ensure required lien waivers, backup documentation, and tax forms are received, complete, and properly filed.
  • Compile, organize, and maintain owner invoice backup documentation to support billing and audit needs.
  • Assist with the preparation and tracking of owner billings, including assembling supporting documentation.
  • Maintain project files, records, and compliance documentation in an organized and accessible manner.
  • Develop and update project tracking spreadsheets and reports to provide clear visibility into project financials and documentation status.
  • Provide general administrative support for project coordination, including data entry and document management.

Essential Skills

  • 2–3 years of administrative support experience with a focus on invoicing, billing, and contracts.
  • Proficiency in Microsoft Office, including the ability to create and update spreadsheets and documents.
  • Experience with invoice entry and processing.
  • Experience providing administrative support in a project coordination or contract support environment.
  • Strong data entry skills with a high level of accuracy and attention to detail.
  • Ability to organize and maintain project files, records, and compliance documentation.
  • Capability to monitor and track invoice and payment status.

Additional Skills & Qualifications

  • Experience supporting project teams in a professional office or project-based environment.
  • Familiarity with lien waivers, insurance documentation, bond documentation, and tax forms.
  • Comfort working with owner billings and associated backup documentation.
  • Interest in opportunities that may lead to conversion to a full-time permanent role.

Work Environment

This is an on-site position with a standard schedule of Monday through Friday, 8:30 a.m. to 5:00 p.m. You will work in a professional office environment supporting project teams and interacting regularly with subcontractors and internal stakeholders.

Job Type & Location

This is a Contract to Hire position based out of Towson, MD.

Pay and Benefits

The pay range for this position is $22.00 – $25.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
